What a missed call costs an HVAC company, with the formula

The short answer

A missed HVAC call costs calls per week times 4.3, times your missed rate (25% to 40% is the 2026 benchmark), times your book rate, times your average ticket. For a two-truck shop taking 40 calls a week at a $450 ticket, that is roughly $6,700 a month in jobs not booked, before halving for callers who try again.

An inbound call to your business line that was not answered by a person or a booking system before the caller hung up. Voicemail counts as missed. The caller usually does not leave one.

What does a missed call cost? The formula

You need four numbers, all of them yours.

  • Calls per week to your main line and any tracking numbers. Your phone system has this.
  • Missed rate. If you do not know it, the 2026 benchmark is 25% to 40%. Use 25% to be conservative.
  • Book rate on answered calls. For inbound repair calls many shops sit between 30% and 50%. Use your own.
  • Average ticket. Weighted across repair, maintenance and install. A blended $450 to $1,900 is common for owner-operators.

Monthly cost of missed calls = calls per week x 4.3 x missed rate x book rate x average ticket.

The honest caveat: not every missed call would have booked, and some callers try again. Halve the result if you like. It is still, for most shops, more than the fee for fixing it.

How do you measure it after the fix?
